Booking and payments
The terms that apply when you book a journey
How a booking is formed, what each side is responsible for, and what happens when something changes.
- Version
- 3.2
- In force from
- 1 July 2026
- Published
- 14 June 2026
These terms have changed in a way that requires your review.
The administration fee for customer-initiated changes is now stated as a fixed £35 rather than 'a reasonable fee'. Minimum-numbers decision dates are now given on each departure rather than described generally.
Bookings made before 1 July 2026 remain subject to the version accepted at the time, which is stored against the booking. You do not need to do anything for an existing booking.
What this document explains
- When a booking becomes binding
- What you are responsible for, and what we are
- Deposits, balances and price changes
- Changes and cancellations by either side
- Minimum group sizes and what happens if one is not met
- Where liability sits, and the law that applies
This summary is here to help you find your way around. It does not replace the full wording below, which is what applies.
1. When a booking is formed
A booking is formed when we issue a written confirmation carrying a reference beginning GTT, and not before. Completing checkout, holding seats or making a payment that has not yet cleared does not create a binding booking on its own.
Where a departure is marked provisional because it needs a minimum number of travellers, the booking is formed but conditional. Section 8 explains what happens next.
2. What you are responsible for
- Giving each traveller's name exactly as it appears on the passport or identity document they will travel with.
- Holding valid travel documents, visas and any required health documentation.
- Arranging travel insurance, which is a condition of travelling internationally with us.
- Arriving at the stated joining point at the stated time.
- Telling us about anything that affects how the journey should be planned.
- Paying the balance by the stated date.
3. What we are responsible for
- Providing the journey described on the trip page and in your confirmation.
- Telling you promptly and in writing about anything that materially changes it.
- Selecting suppliers with reasonable care.
- Providing a named coordinator and a means of contacting us during the journey.
- Handling your information as set out in our privacy policy.
4. Prices
The price shown at the time you book is the price of your booking, including everything listed as included. We do not add surcharges after booking. Where a price on the website changes, that change applies to new bookings only.
5. Deposits and balances
| Journey type | Deposit | Balance due |
|---|---|---|
| Local UK trips | 20% of the total | 14 days before departure |
| International journeys | 20% of the total | 8 weeks before departure |
| Bookings made inside the balance window | Full payment | At the time of booking |
Deposits secure your place and pay suppliers who charge us whether or not you travel. They are not refundable except where we cancel or a minimum-numbers condition is not met. Tickets are issued once the balance has cleared.
6. Passenger-name accuracy
Airlines and ferry operators match the ticket to the travel document letter for letter. A name that does not match may be refused at check-in. Correcting a name after ticketing incurs the airline's charge plus our administration fee, and some airlines do not permit corrections at all.
7. Changes and cancellations by you
Request any change through your booking. A change that requires repricing incurs the supplier's costs plus a £35 administration fee per booking. We quote the exact figure and hold it for seven days before anything is charged. Cancellations are covered by the cancellation and refund policy.
8. Minimum passenger numbers
Some departures need a minimum group size to run. Where that applies it is stated on the departure and your booking is marked provisional, with a decision date shown from the day you book. On or before that date we either confirm the departure or cancel it and refund everything you have paid us in full, with no administration fee.
9. Changes and cancellations by us
We may occasionally need to change an itinerary, a hotel or a timing. Minor changes are notified in writing. For a significant change — a change of departure date, a reduction in the standard of accommodation across the journey, or a change of destination — you may accept it, move to another departure, or cancel with a full refund.
10. Unavoidable and extraordinary circumstances
We are not liable for failure to perform where it results from unavoidable and extraordinary circumstances beyond our reasonable control — including war, civil unrest, terrorism, epidemic, natural disaster, industrial action affecting a supplier, and the closure of airports or borders. Where such circumstances prevent a departure we will refund what we can recover and will tell you plainly what we cannot.
11. Behaviour and safety
Group travel depends on everyone being reasonable with everyone else. Where a traveller's behaviour puts others at risk, causes damage, or makes the journey unreasonable for the rest of the group, the coordinator may require them to leave the journey. No refund is due in that situation and any costs of returning home are theirs.
12. Liability
We accept responsibility for the journey being provided with reasonable skill and care. Where a supplier's own conditions limit their liability, those limits apply to the corresponding part of your journey. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud — and nothing in them affects your statutory rights.
13. Complaints and governing law
Tell your coordinator at the time if something is wrong, so that it can be put right while you are there. Anything unresolved should be raised through our complaints procedure. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
